Print Labels

The print labels functionality in Ivinex is used to generate printed labels based on the data in one of your data modules.

1. Getting Started

The location of the Labels button is found in the wrench icon right next to the New button in the record list window when viewing a data module, also shown as point 6 in the image below.

Before you can start printing labels, you need to have your data already added or imported into a data module in Ivinex. You may also want to have your label paper dimensions and specifications written down or available.

2. Print Labels Dialog Window

Once you click the print labels button, you will be presented with a new window with a variety of different settings. The top of the print label settings window will tell you what module you are currently using for the label printing.

Note: When you first print labels, the settings you choose will be saved as a template. You can also select the same template, modify the settings, and the template will be overwritten and saved for the next time you use that template. You can have as many templates as you like, just save them all with a different name.

• Template: A select box where you can choose your print label template.
  
  
• Template Name: The name of your print label template (the name that is displayed in the Template drop down).
  
  
• Unit of Measure:  The unit of measure the other settings will use to determine size, borders, heights, widths, etc.
  • Inch:  The inch is a commonly used customary unit of length in the United States, Canada, and the United Kingdom.
  • Centimeter:  A unit of length in the metric system, equal to one hundredth of a metre, or 10 millimeters.
  • Millimeter:  A unit of length in the metric system, equal to one thousandth of a metre.
  • Point:  In typography, a point is the smallest unit of measure equal to 0.0138 inch or 0.3527 mm.
    
    
• Orientation:  Page orientation is the way in which a rectangular page is oriented for normal viewing.
  • Portrait:  Page orientation where the height is greater than the width.
  • Landscape:  Page orientation where the width is greater than the height.
    
    
• Paper Size:  The dimensions of the paper you will be printing on.
  • Width:  Width of your paper (based on the Unit of Measure settings).
  • Height:  Height of your paper (based on the Unit of Measure settings).
    
    
• Start Row:  Where on the paper you want to start your rows. If you type 2, row 1 will be a blank area on the page (equal to your label height).
  
• Start Col:  Where on the paper you want to start your columns. If you type 2, column 1 (row 1) will be a blank area on the page (equal to your label width).
  
  
• Edit Labels:  Check this box if you want to be able to manual edit the data that appears in the label.
  
  
• Page Left Border:  The space on the left of each label (margin).
  
• Page Right Border:  The space on the right of each label (margin).
  
• Page Top Border:  The space on the top of each label (margin).
  
• Page Bottom Border:  The space on the bottom of each label (margin).
  
  
• Label Width:  The width of each label (based on the Unit of Measure settings).
  
• Label Height:  The height of each label (based on the Unit of Measure settings).
  
  
• Num Rows:  The number of label rows that will print on your paper.
  
• Num Cols:  The number of label columns that will print on your paper.
  
  
• Label Text:  The actual text that will appear on each label. You can use a mixture of text and Field Syntax.
  • Example: Name [Field: first_name]
    
    
• Order By:  This select box will be populated with all of the fields from the module you are using to print labels. Select a field to be used for the order in which your labels will print.
  • Example: Picking a field called "First Name" will give us an order of: Alan, Alex, Bart, Chris etc.
    
    
• Then By:  A select box to choose a field that is used in addition to your first order by choice.

3. Finishing Up

After you have setup all of your settings, you can click the submit button. This will show you a representation of what is about to print (print preview). If you are pulling data from your module using Field Syntax you should see your actual data in the print preview. If you checked the “Edit Labels” check box, you should also be able to edit the labels (in the print preview) before printing. To start over, you can click the “back” button on your web browser to take you back to the Print Labels dialog box.
